Capture & Indexing
Datascan Online supports centralized as well as distributed scanning for chronicling the paper documents at their source, resulting in effective knowledge capture. Support is available for all TWAIN based industry standard scanners. The solution has a document capture interface which caters to all types of documents - be it scanned or electronic or even raw version. The data capture forms are user-definable and are dynamically created and assigned to the document database, enabling efficient capturing of document knowledge. The captured documents could be indexed as per various data types like alphanumeric, decimals, integer, date, owner, set, etc. List fields are provided for faster indexing. System generated values could also be defined as metadata information. These parameters could be assigned to properties like unique, must enter, indexed, protected, etc., to allow organizations to leverage their existing file naming taxonomies. Memo can be added on each record.
OCR & OMR
Datascan Online supports OCR, ICR and Barcode to automatically extract data like text, check marks and barcodes on documents, according to the rules you create to simplify and increase efficiency in handling. The system supports bulk upload through intelligent auto indexing of documents. This is possible by scanning these documents by the use of file naming conventions and also, through QR codes/barcodes. It enables organizations to optimize the resource utilization for bulk capturing of document knowledge and automates the whole process with minimized human intervention.
Enables organization to store digitally signed documents within Datascan Online. This gives legal validity to electronic documents and eliminates the need to print and sign, thus helping save time and money. This is also one of the best features of Datascan Online as information and knowledge stored in folders is protected and provided with security of the highest order. Thus, data is kept highly secured, while the authenticity of digital documents is maintained with great ease.
Office, Email, Fax integration
You can save new documents from Office applications directly into Datascan Online and retrieve them as and when required. You can also integrate these documents with the email and fax server to archive and send emails/faxes directly from Datascan Online. All incoming emails are automatically archived in the content repository with mapped metadata values for future reference, which takes a significant load off the email server.
Datascan Online gives an interface to manage physical and electronic records from their creation to application while retaining the integrity and authenticity of records. The components of Record Manager are built in the solution. Some of the essential functionalities you can use are document archival and retention alerts; document access security, version control, searching contents with metadata, store / retrieve documents, retention strategy and annotation. Document retention policy ensures compliance of record management as applicable across the organization. The retention period of a document could be pre-configured based on its metadata information and other assigned document properties. Notifications to the prescribed users are enabled to inform them of the scheduled activities. Once deleted, these documents go to a recycle bin, and could be effectively restored only by the owner.
