Managing Sensitive Data in Higher Education

Data Breach Information Sources

Working in higher education, you are well aware of the need to store information related to your students, faculty, staff and alumni. Whether this data is for student administration, course enrollment, billing, grant applications, campus security or alumni systems, it is the lifeblood of managing your institution efficiently. Much of this information contains personal and private records that must be maintained according to privacy laws and breach notification standards. In essence your institution is the guardian of any sensitive information it collects and must take every reasonable attempt and precaution to manage against data breaches from both internal and external attacks.

How do breaches occur? Most data breaches are inadvertent exposures through either application or database access. Breach exposures can happen over time through new systems and processes being rolled out. Without regular monitoring of your applications and databases to find potential exposure points you could be in for a major breach. Hopefully you’ll catch any leak in your security before it is a problem. But can you afford to be the next headline? Colleges and universities making the headline news risk much more than fines, penalties, resource requirements and restitution to the victims involved. Far more important is the reputation of your institution that is at risk. Lost enrollment, low alumni involvement and declining fundraising can be the long term effect.

So, where are you exposed? Which applications and databases do you need to protect?

Where is all sensitive/private information that you collect stored? Is it documented? Can you show what users and programs have access to these sensitive data elements?

Together 3i Infotech and MENTIS Software provide solutions for higher education to help you to better manage sensitive and private information, such as:

  • Discover and all locations of sensitive information
  • Audit and adjust your existing application and database security

  • Mask and/or scramble data to present real but bogus data to non-privileged users
